1. Introduction

This Data Protection Policy sets out how we process and protect the personal data of our clients at Skora Accounting Ltd t/a Ksiegowosc UK CRN: 9713295 ("the Practice"). We are committed to maintaining the confidentiality and security of personal data in accordance with the UK GDPR and the Data Protection Act 2018.

Role in Data Processing

The Practice acts primarily as a Data Controller, determining the purposes and means of processing personal data of its clients.

Additionally, the Practice may act as a Data Processor when processing personal data on behalf of other organizations or clients, strictly following their instructions and applicable data protection laws

3. Purpose and Legal Basis for Processing

• We process clients’ personal data for the following purposes:

- Providing accounting and advisory services,

- Performing contracts with clients,

- Complying with legal and regulatory obligations (e.g., tax and accounting laws),

- Communicating with and supporting clients.

The legal basis for processing is the performance of a contract and the legitimate interests of the Practice, such as ensuring the continuity of services.

4. Types of Data Processed

• We process personal data necessary for the delivery of our services, which may include:

- Names, addresses, telephone numbers, and email addresses,

- Tax identification numbers and financial information,

- Other information required to fulfil accounting and tax obligations.

5. Sharing Personal Data

Personal data may be shared only with trusted third parties who assist us in providing services (such as IT service providers, tax advisors), always under appropriate data processing agreements to ensure data protection compliance.

6. Transfer of Data to Ensure Continuity of Services

As part of the agreement between the client and the Practice, in the event the Practice Owner becomes unable to operate the business due to long-term incapacity, illness, or death, client data may be transferred to Advantax Accountants LTD (CRN: 07611409), a trusted third party collaborating with the Practice. This transfer ensures the continuity of services and protects clients’ interests.

7. Data Retention

We retain personal data only as long as necessary to fulfill the purposes of processing and to comply with legal retention requirements (for example, accounting records are retained for a minimum of 5 years).

8. Data Subject Rights

• Clients have the following rights regarding their personal data:

- Right to access their data,

- Right to correct inaccurate or incomplete data,

- Right to erasure ("right to be forgotten"),

- Right to restrict processing,

- Right to data portability,

- Right to object to processing,

- Right to lodge a complaint with the UK Information Commissioner’s Office (ICO).
